The Simplified Systems Stack: Run lean. Scale smart.
Too many people build complicated systems… just to say they have systems.
Dashboards they don’t use. Automations they forget about. SOPs that collect dust.

This is the Simplified Systems Stack I’d use to run lean and scale clean.

1️⃣ The Command Center (Notion)
→ This is home base.
Your roadmap, content pipeline, client work, ideas, assets, and operations all live here.
How I use it:
Dashboards for goals, projects, deliverables
Templates for repeat processes (offers, content, outreach)
Central brain so I’m not scattered across 5 tools
🛠️ AI Plug-In: Notion AI for daily briefings, writing drafts, summarizing updates
2️⃣ The Automator (Zapier / Make)
→ This is the engine behind the scenes.
Any repeatable task gets mapped and automated.
What I automate:
New lead → Welcome email → CRM update
Content idea captured → Sent to Notion board
Client intake form → Auto-create folder, tasks, follow-up email
🛠️ AI Plug-In: Webhooks to ChatGPT for summaries, draft responses, content snippets
3️⃣ The Communicator (Feedhive / Metricool / Email Platform)
→ This is how I stay visible without manually pushing buttons every day.
What’s running here:
Pre-scheduled social posts
Repurposed content loops
Email newsletters queued and optimized
Analytics dashboards to see what’s working
🛠️ AI Plug-In: Auto-generate post variations, headlines, subject lines from existing content
⚙️ Tool of the Week: Make.com
Make is next-level automation—more flexible than Zapier if you’re comfortable mapping out workflows visually.
Connect Notion, Google Drive, ChatGPT, CRMs, social tools
Build “If This → Then That” logic across your entire ops
Once it’s set? You work smarter, not harder.
Systems Shift
Simple systems scale. Complicated ones collapse.
The goal isn’t to have the most tools.
It’s to have the fewest tools possible doing the most work for you.
If you can run 90% of your business from a single dashboard and a few automations?
That’s leverage.
