The Inbox Autonomy Flow

1️⃣ Triage → Don’t Respond Immediately

Set up auto-labels, filters, or tags to categorize by intent:

  • Leads

  • Clients

  • Noise

  • Newsletter / updates

✅ Tool: Gmail Filters, Superhuman, or Missive
→ Add a "VIP" tag for anyone who needs a same-day response
→ Everything else? Scheduled batch check times only

2️⃣ Create an AI Response Assistant

Use ChatGPT or Magai to draft responses with your voice.

🧠 Prompt I use:

“Act as my executive assistant. Reply to this email in a clear, confident tone. Keep it under 5 sentences, and offer next steps or a link if applicable.”

Train it with a few examples. Then you’ll fly.

3️⃣ DM Template Bank

For common DMs:

  • “What’s this about?”

  • “How much do you charge?”

  • “Can I pick your brain?”

Write 3–5 base responses. Store them in Notes, Magai, or Notion. Copy. Paste. Keep it moving.

✅ Bonus: Link them to a lead magnet or newsletter signup. Turn inbox clutter into list growth.

Automate Touchpoints

Set up follow-up flows using:

  • Zapier + Gmail (auto-follow-up if no reply in X days)

  • Calendly + Email (auto-confirmations, reminders, resources)

  • ConvertKit/Flodesk (onboarding sequences, client nurture)

Idea:
Use Tally → Zapier → ChatGPT to respond to form submissions with a tailored reply.
→ It looks personal. You didn’t lift a finger.

⚙️ Tool of the Week: Missive

Missive is email meets collaboration.
Think shared inbox + chat + tagging + templates — perfect for solopreneurs or micro teams.

  • Tag emails by priority

  • Assign tasks

  • Respond with templates

  • Integrate with GPT via Zapier or API

This is how you stop reacting and start running comms like a system.

Systems Shift

Inbox time isn’t deep work. It’s admin.
So treat it like admin.

Batch it. Filter it. Automate it.
If it’s urgent? It’ll find you.
If it’s not? It can wait.
